Alright. Eight. Welcome, everyone, to today's Intuit plus double partner webinar, the legislature closed in the last program '26. We're super excited to have you all here. If you have before we kick off, please make sure to put your, questions in that right hand column of your screen. There's a q and a spot where you can put your questions. We also do have chat enabled so that you can interact with us live. We have people that are here with Double and QuickBooks that are, going to be interacting with all of you during this entire webinar. And then under docs, we do have a couple of resources related to this webinar to share with you all. So with that, I'm gonna go ahead and pass it off to Christine, to start with introductions and kick off the presentation. Christine? Hey, Heather. Super excited to be here. Thank you for everybody, joining today. So my name is Christine Triantos. And, Heather, I don't know if it's your audio. If you don't mind going on mute, we'll see if that clears up some of the background noise. Is it see if that if that works. I don't I I'm gonna keep going. But, Heather, if you can go on mute, that would be awesome. So thank you for joining today. My name is Christine Turantos. I am the owner of Infinite Advisors and Infinite Ties. We are a, specifically as consulting, practice, and we have a CAS community, 1. and love what I do. I've been in this space. I started with a top 10 firm public accounting thirty years ago. Was an early adopter in this space and, ran a national tech team and a and a regional cast practice. And so really just excited to be here today with Double and with Ben. And so, Ben, thank you so much for joining. I we also work really closely with Intuit and with Double, and so I just think this is a fantastic, partnership that you guys have going. And so, Ben, yeah, if you would just introduce yourself as well. Thank you, Christine, and thank you all, everyone here for joining us today. My name is Benham, Doubles, Co Founder and CEO and also, fun fact, Doubles bookkeeper. So I have come by using I use our product every single month as part of the close and excited to talk to y'all today about how Double can help run a more efficient close when it's connected to QuickBooks. And, also, before we dive in here, I just wanna make sure we get the, like, audio situation sorted. Folks in the chat, how it sounds like I don't know if this is every speaker or just some speakers. How do how am I coming across? Loud and clear or just as echoey as everyone else? Okay. I sound fine. Okay. Great. I sound great. This is a great boost to the ego here. So thank you all. Okay. So, Christine, would love if you could maybe just say a few words here, and we can do a little bit audio test. I know this is apologies for excite this is not in the agenda as you can see here, but I wanna make sure y'all can hear every word here that we are we're gonna say because they're all all equally valuable. No problem. Are you hearing me okay? We don't have any background noise now? Perfect. Awesome. Think we're good. Awesome. Alright. Well, we'll add one more bullet to the agenda, sound checks, mic checks. So now that we've got that squared away and we've got the introductions, Christine's gonna walk us through some parts of the basically, what what the clues looks like today and and where the friction points are and what problems is caused in bookkeeping and cast firms. Then I'm gonna walk through what a closing double can look like and how it alleviates many of those problems. And then we'll hand things back over to Christine. She'll walk through some success stories and the ever important how to actually implement software successfully, and then we'll close things up with some takeaways next steps and open it up to some q and a. Okay. But first, the quick intro on Double. Basically, Double is what we call a month end close manager. So it's a suite of tools that sits directly on top of QuickBooks to help you streamline and automate the close. So for individual contributors who are doing the actual work, it's one, a set of tools to help you do that work more efficiently, produce higher quality financials with fewer errors in less time. And for managers who are monitoring dozens or hundreds or even thousands of closes in parallel, It's a system for managing all of that work, understanding what's holding up the close, who's responsible for what, what might be falling behind, what might be blocked waiting on a client. So it is a combination tool for doing a better close and system for tracking all of those closes that you're running better. Awesome. So thanks, Ben. I I'm gonna I'm gonna, like, give some of your, you know, really great they're not secrets, but, like, your your attributes of of Double. And just for everybody, you know, it Double was Keeper. Keeper is Double now just for clarification purposes. But just having been in this space as a practitioner for as long as I have, you know, just in also in that tech nerd space, really excited about what Double brings to to the accounting bookkeeping CAS community just from this this workflow standpoint. Right? Because the broken state of workflows, we all know when we look at, you know, the multiple systems and Ben's gonna show you this in the demo. But when we look at double, it's solving for not only the client workflow and all of the pieces that go with the client, but it's also solve solving for that staff capacity management. And so though that those two aspects here are just really important when we look at the the broken state of workflows. We talked about the communication overload. We all know, you know, if you're if you don't already have a system, similar to double or double in place, it is the emails, the Slack, all of the messages, the multiple team members that, you know, that are involved. And so within within Double, what we love about it from a practitioner standpoint is that they have this email persona. Right? And so that email persona is just one email with all the teams that's communicating with all of the clients, which makes this really, really nice when you're training staff, when you're adding offshore teams, and you might you may or may not necessarily be, you know, letting your client know that that's what what they're doing what you're doing. So with that, it with the communication aspects of it and then the client portal aspects of it. The client portal aspects are fantastic. It has the auto reminders. It, you know, reduces that pickup put down because normally what you would be doing within the team members or within, email, you would be, you know, sending out those emails to clients that you don't have all of the information. So it it's the questions, the coding to clients, he'll show you too. But the two way sync really reduces that export of data, and, what you're having to try to format and also then send to your clients. So I know I'm speaking to the masses of, like, what internally is, an issue for you guys. And so and then when we look at the, you know, external review notes, you know, teams can easily add all of those review notes there. But also within that, within all of the tasks, it's really easy to put training documents and then also videos within each of those tasks so that you're just saving capacity management. And and, Ben, I don't know if we or if we can go to the next slide, but maybe I I don't know if we're still hearing if the background is still kind of there. Maybe if each of us are on mute at the perfect. That might be it. I think that that sounds a little bit better. Okay. So, also, you know, when we start talking about the friction points, obviously, we just talked about the disconnected execution, client communication gaps, all of those delays. And so, you know, I actually just I'm doing a separate training and webinar on unresponsive clients and how much that cost you in margin and ROI. And so when you have these workflows in place and you you know, it doubles specifically, it is really increasing those margins and reducing that pickup, put downtime. So we talked about those signs. The the real time visibility, what we love about this is it's no longer also trying to figure out what is still outstanding, where are we with each of the clients. So within the dashboard, you know, you have that where you can assign those clients to specific teams. And so the managers can see exactly where their teams are, and you have pure visibility within the dashboard of wherever every every single client is real time. So that's fantastic. And also if it's something that's sitting and waiting with the client. Again, those emails that are going directly out of out of double with that two way sync, you can just send it directly. Client can code that transaction on their end, and it'll sync straight back into QBO, which is awesome. And then, obviously, scaling pains. The scalability, I think, which is really important is that we're, you know, creating that standardization, and that's, I think, what what we do a lot wrong when we're practitioners is that every every client has a different close process. Every client has something different. So creating that standardization and what we preach and teach to firms is, you know, that's building a practice that's scalable, sustainable, and repeatable. And so I'm really just excited with what Double is bringing to to the community in this space. Awesome. Let's go to the next slide, please. Alright. So this is just a quick visual of what Double looks like and and sort of what a way to conceptualize it in your head. Basically, all the core data still lives in the ledger, so you still very much need a QuickBooks. And everything that Double can do to automate the close is relying upon the great APIs that QuickBooks makes available. But then the actual close itself can run entirely in the single system that has task tracking, client comms, time tracking, document management, accruals automation, AI bank feeds, AI journal entries, so all the way down to final management reporting and production to your clients. So you can literally run the entire close inside of Double, and then everything stays synced and connected with QuickBooks. Next slide, please. And now we get to jump into a demo. We have one quote, that talks a little bit about, how double is great, but, y'all will get to see for yourselves, and draw your own conclusions. So with that, I'm gonna go ahead and share my screen. And let's get this one, two. While you're sharing your screen, Ben, I just wanna add too, like, the the setup and implementation of your product is really is really simple and seamless too. And so I know you'll touch on that, but, I mean, really just setting up clients is is is a quick process. Yeah. We won't quite have time to talk on how you do setup, but one of the nice things about Double is because we only focus on bookkeeping and accounting firms and the month end close. We have a ton one, the entire close comes what we call 80% rebuilt, and then we have a ton of templates and resources and great folks in the industry like Christine who can help you set up and get the most out of your double account accountants. So we're here in double. This is what we call the closed page. The closed page is where most of your work actually lives inside of Double. So it has all of the one, this is where we sync our data to to QuickBooks. Two, this is where you have and can track all of your tasks and complete them. Three, this is a jumping off point into client communication. As you have questions throughout the close, you can ask them here, and then your clients can see them in their portal. And then fourth and finally, this is also the jumping off point into any of your management reporting that you wanna, want to deliver through Double as well. Okay. So there's a few things to know about the screen. At the top, we have the what we call client communication styles. So the basic idea here is as you go through the close, you'll see as I start walking down this page, you basically start at the top of the page and work your way down to the bottom. And when you've hit the bottom, you've completed your entire close, and you can move on to the next client. But communication doesn't happen linearly. It's not one step in the process, and so client communication can't just be one single task. So, basically, the client communication is pulled up here at the top. And that way, as you ask your clients questions over the course of the close, they all get sort of hoovered up here so that you can check on any questions that may or may not be answered throughout the close right here at the top. Below that, we have two, what we call task areas. There's your custom tasks and then your closing checklist. Your custom tasks have your one off, or recurring, but nonclose related tasks that are tied to this client. So here, maybe you have a filing deadline like the annual 10 o nine's process. Maybe you have a daily or weekly bank feed categorization process. If you're responsible for running payroll, you probably have to do that every two weeks or twice a month. So, basically, you can build up these custom recurring checklists recurring tasks or one off tasks, and those go all here in your custom tasks. And they can be built up into these sections, and all of your sections are fully customizable but also standardized across all your clients. So for example, you can have an onboarding section that shows up only when a client's in onboarding, and then you can hide it when it's no longer relevant. And then below that, you have your closing checklist. This is automatically tied to the close that you're working on. And then when you roll forward the close and you start the next month, it'll automatically roll forward all of the tasks here as well. So some of this is just bog standard workflow stuff, folks. Many of you are already familiar with if you're if you're using or have used a ClickUp or an Asana or a monday.com. So you've got tasks here. They have checklists, descriptions, assignees, due dates. You can set these to be due on a specific day or a business day, tagging, comments, file storage. So, basically, all the things that you have come to expect from a work management system exist here in Double, but Double's closing checklists are built around the month end close. So everything is a lot more natively built for the type of work that you're actually doing. Of course, in addition to the normal stuff that you'll see in every work management system, because double is just for accounting firms. You're also gonna see individualized sign offs where you can set up sign offs by role or set up sign offs for individual users for more critical tasks that you want multiple eyes to be on. And then below your below so so a a lot of that sort of basic work management that you could get in many systems. But when you get to your accruals, this is really the first place that you'll see the impact of double sync with the ledger. So here, this may or may not be relevant for a bunch of folks in the audience if you're just doing cash basis accounting, but I will show some of what we do in in your accrual section just to sort of showcase how this works. So here, for example, if you're maintaining prepaid expenses today in a in a spreadsheet and then you're updating that spreadsheet whenever you see new transactions in the ledger, and then you're using that spreadsheet that you just updated to tell you how to update the ledger, and then you're tying everything out and reconciling it month end. This basically turns that multistep, ledger to spreadsheet to ledger to spreadsheet process into a single, step that's just a couple of clicks. So here, if you have a new prepaid expense, and this works whether it's prepaid expenses or fixed assets or anything else, you can just click add to accruals, choose the type of accrual, and then it'll double will automatically create your entire schedule here. We'll post all the entries for the for that asset out into the future directly into QuickBooks and then maintain a schedule that's tied into Double so that we'll automatically tie out the schedule balance against the balance sheet balance at one deck. So this is a great way to take I I think this this is not everything we do in double, but this is representative of what we do in double. So it's taking some process that might be jumping back and forth between a spreadsheet and one tab and another tab that's very, like, squint heavy and and laborious and turning it into a process that just a couple of clicks. Okay. So after that, get to our account reconciliations. And this is one part where I do wanna call out the sort of balance between QuickBooks and and Double. So this is actually one section where for your bank and credit card accounts, you are actually still gonna do the reconciliation in QuickBooks. And we have some additional tooling that can help you automate that process, but the reconciliation itself is still actually gonna happen in QuickBooks. So this is essentially a checklist. It will show you the balance of the account. It will also time stamp that balance when you reconcile it. So that way, if there are any changes made after the reconciliation, you'll get alerted about those rather than finding out months and months down the road. And then if we go over here to QuickBooks, I'll show actually what we do to help automate the reconciliation. So first, Double has a bank feeds feature that you can use in lieu of categorizing transactions inside of QuickBooks. If you use that, this start reconciling button will automate the process of marking transactions as cleared inside the ledger. But I'd say probably the more interesting thing that we do here is twofold. First is we have this analyze difference button. This is really helpful if you have a reconciliation that won't tie out and you can't figure out why. So sometimes you have hundreds of transactions, and maybe two or three of them are not in the not in the statement, and that's causing the statement balance not to tie out to the the ledger balance. Of course, there could be many reasons. And so Double is designed to help use AI to actually automate that process entirely. You can just click this analyze difference button, and that will pull the context of the ledger detail, and then you can compare that against the balance of the data in the statement. And then run a run an AI that will compare the two and return back what's actually causing that balance to be off. So this is a pretty radical use of AI that actually is surprisingly like, it's it's one of those things that has really only been unlocked within the last, I honestly, probably three to six months as the models have gotten capable enough. But here, basically, what this will do is we'll flag for you, hey. There's a $78.40 difference. This is the specific transaction that's causing that difference, and then you fix it by marking the $78 and 40 transaction 40¢ transaction as cleared. So we can go back to our our rec, mark that transaction as cleared, and then now the reconciliation is gonna tie out. So last but not least, when you finish that rec, you can also do one more thing, which is upload the reconciliation report to Double. So to do that, you click view reconciliation report, upload that report to your task, and then that will sync the reconciliation report back to double. And one of the really nice things about doing that, is that way if you are a large enough team where you have individual contributors, who are doing the reconciliations and then managers who are reviewing the reconciliation work that was performed. The managers don't actually need to go into QuickBooks to review that reconciliation. They can review it directly here inside of your account recs in Double. So they can see that they can see the statement if you upload the statement to this task, and then they can also see that reconciliation report. They can do their entire review work for the month end close all here within this checklist. Okay. After your account reconciliations, you have the review sections. There's three core review sections in double, the transaction, payee, and final review, and each one of these are designed to show you different potential issues you might wanna review before you actually deliver reporting to clients. So I'm gonna show you one or two reports in each of those. We'll start with the expense inconsistency. Here, basically, the way this report works is it's designed to look at the last month of transaction categorization, cross reference that against the last twelve months of historical categorization patterns, and flag potential discrepancies. So here, for example, we can see Zoom is categorized to office supplies. But if we click this little arrow over here on the left, we can see that typically Zoom is categorized to software. So that's the kind of issue Double is gonna flag for your attention, and then everything in Double is a read write sync with QuickBooks. So you can just type the change you wanna make, hit enter, and it'll instantly sync that change back to the ledger. Double is also designed to be fully collaborative. So this if this is something where you're a manager and you're correcting some IC's mistake, maybe you might pop open our chat, at tag the team member who is responsible, and then you can have a back and forth conversation there. These comments, act like a very lightweight internal, collaboration, or they can all you can also use them for more structured review notes. Hey. Hey, Ben. Real quick. We have a question Mhmm. that says transaction is not booked. Is the AI analyzing the bank statement, and will and will it be able to find that difference as well? Great question. I okay. I'm not sure if this is referring to the reconciliation AI we were looking at here or if we're talking back about the review. I'm happy to speak to both of those. Oh, reconciliation AI. Great great question. Yes. So it will look at both It looks at all the transactions in the ledger, all the transactions in the statement, and then it says that there are basically three things that can be wrong with us a cash rack. There's it's in the ledger, but not in the statement. There's it's in the statement, but not in the ledger, or there's it's in both, but there's some some data error, whether it's, like, a multicurrency issue that means things are off by a penny or whether it's some sort of just, like, data input error that makes things off by a rounding error. And those are basically the three main things that can go wrong, and the AI checks for for all of those. So, yes, short answer is if the transaction is not booked, but it's in the statement, Double will flag that as well. And and I know you're getting to pricing, but the other question is is is the reconciliation feature in the basic package? Yeah. I'm happy to talk about that. I'll I'll just really quickly show how our pricing model works. Yeah. We can we can we'll get there, but I yeah. yeah. The so, just just so that everyone's aware of, like, what the basic package is, there's three core plans in double. There's core, plus, and scale. The basic, intuition here, is core is your basic cash basis accounting close, plus includes some more advanced features for more complex clients, and then scale includes our most complex features. So that includes things like accruals, AI journal entries, and AI bills. And so core is, core is everything you need for a cash basis client. Also, as a result, you do need recital accounts for your cash basis clients. So, yes, AIRX is in core. And one more thing I'll mention just while we're on the topic of plans. This is all mix and match. So if you have one accrual client and 10 cash basis clients, you can have only the one accrual client on scale, and then the rest can be on on core. Okay. I wanna show one more report within the transaction review, and that's uncategorized transactions. So earlier, I was talking about how throughout the close, you're gonna encounter these situations where you need to request more information from your client. This is one of those places. So any transactions you need to get client input on, you can do that directly here through Double. You just click this ask client question button, type the question you wanna ask, or use a prebuilt template question, and then add it to the client portal. From there, the clients will see that in their portal so they can go and give you feedback. I'm toggling over here to what the portal looks like. You could see it's a fully custom branded experience. So it has your logo, your URL, your color scheme, and even the email that's used to notify your clients, comes directly from you. So it all feels like this cohesive extension of your firm's experience, rather than another app you're trying to convince clients to use. And then here, your clients can see all of the questions you need you need their input on. They can provide an answer here. And then when they do, you get notified so that you can take action back in the whole. This is not just for transaction questions. You can also ask for things like you can also ask for one off random questions, like this very timely one. We're all on the webinar. Will you be joining? Or things like, a regular monthly bank statement request. So anything that is something you need from your client, you can ask from them here. They can also ask you questions here. So if they need, a reimbursement process, if they're hiring someone new, they can use that through the questions for us. And then last but not least, is your financial reports. You can actually publish financial reporting that you generate in double directly here into these management report into the client portal. And so here, just to sort of show showcase a little bit about what those look like, we'll come back to this when we talk a little bit more about reporting. These are static management reports that can show you things like a high level executive summary. This is one of our customers' customers' favorite reports because it gives clients a high level overview of what changed in the month. And then if they're curious, they can continue drilling down into the remainder of the reports. The remainder of the reports have we have dynamic temp dynamic systems for letting you do things like create custom charts and visuals and graphing dashboards, things like this. And then, of course, we also have your core financials, API or aging, cash flow statement, top vendors, customers. So a lot of the reports that you wanna deliver to clients, you can deliver those directly here as well. And then we also have interactive versions of those same reports So your clients can get this interactive financial overview. They can drill into their p and l here, and then they can also have an interactive dashboard here too. So, again, all of this lives inside of the singular portal. So it's not just this one place your clients go to for transactions. It is the single system that has everything you need from them and everything they need from you. I did see one question come in, from Alicia, which is if we need the same list of things each month, can that be automated? Great question. The answer is absolutely yes. The way you do that is in your portal under client communication. You can set up what we call recurring questions. So here, if you have a regular bank statement request, a regular credit card request, just regular one off questions, you can set those up to repeat on some frequency. It could be monthly. That could be quarterly. And then you can also set up emails to notify your clients when those get published into the portal. Okay. So Maureen asked, so the client needs to know how to navigate in QuickBooks and in Double. Is that not too much? It's a great question. I think this is definitely one of the things that firms are really most naturally apprehensive about is rolling out yet another new system to communicate with our clients in. And yet despite that, we see actually really, really, really good an option in the portal. It is our number one most used feature in double outside of basic workflow. So what we see is what clients really want is an easy way to give you the things that you need to do your job, and this is an easy way to give you the things you need to do your job. They get an email. That email is magic link authenticated, so they literally click one link that's in their email. Then they see everything that's required for them here. They can click. They can get an answer, and that's pretty much all they need to do. Okay. And then Vanessa asked, some of these I may sort of circle back to, as we as we can get through the remainder of the demo. Vanessa asked, do you explain which level of double service is needed for prepaid entries? That would be double scale, which is our $50.50 dollar per client plan. Okay. One more thing I'll mention about the portal is if your clients don't respond, you can also turn on automated email reminders and automated text reminders to continue to follow-up with them if they do. So no need to go chase the clients and continually email them, to get the things that you need every month. You just set these two checkboxes and forget it. Your clients start magically giving you the things that you need. Okay. So that's the transaction review. I wanna quickly touch on one payee review report that's very timely. I I don't know if many of your your scar tissues have healed yet around '29 season. That is almost a month now in the rearview mirror, but we do have a great report to help make that process much new there for next year. So, basically, the way this report works is it pulls all of your vendors, shows them in descending order of spend, excludes any spend on credit cards under the IRS threshold, which actually changed from 2025 to 2026, and then also shows you all the detail that you may or may not be missing about that about that vendor. So here for we here, for example, we can see it with Woodward. We've got their email address, but we don't have their address or tax ID, so we don't know whether we need to file a 29 for them. So this is really easy to correct in Double as well. You can request the information directly from the client, or you can actually even request the information directly from the vendor. And this will send the vendor a link that they can use to either upload their w nine if they have one or walk through a form filling experience, sign that form, and then you'll get a signed w nine for your records that you can use for efiling. And this is a so this is a great tool to stay on top of w nines that you may be missing every single month as part of your basic closing checklist as opposed to you getting to October, November, December, January, finding out that, oh, you're missing five w nines from vendors that were paid in March and who you have no way of getting in contact with. So it's a great way to make sure that you're staying on top of your tiny nines. Many customers that I've talked to, of course, they get more value out of the software than this, but many customers that I talked to say that this this '29 management tool alone is worth the price of admission for the entire year. Alright. And super excited to show one more report, which is the p and l drill down. Basically, the way this report works is it will show you all of your it it's and, actually, before I show talk about the way this report works, I'll talk about why I love it so much. And it's because this is this is the first opportunity where you get to go from reviewing for errors to reviewing to actually see what drove, what actually happened in the business month business this month the client should care about. So what we do here is we flag any income or expense accounts that change over the the client's materiality threshold. And then here, for example, with software, we can see software is down $4,000 this month. And if we drill in, we can see a vendor by vendor flux as well instead of just the list of transactions that were in software. And so from that, we can see super easily and visually, these two vendors are basically responsible for the entire decline in spend in the account this past month. Okay. I think I was supposed to keep it to twenty minutes, so I think I will keep it to twenty minutes here. There's so much more in double. We didn't even talk about our AI journal entries capabilities, our bank feeds capabilities, our reporting capabilities. But I think I will go ahead and pause these now so I could hand them back to Christine. Yeah. No. And then I would just you know, with within this, if you you would just stay here, though, too, can do you have, like, the dashboard, like, client, kind of, like. Yeah. Great point. I spent so much time talking about how you can make the close better for one client. I neglected to talk about how easy it is to keep track of everything for every client. So this is what we call the client list. This shows you basically, you can think of it's that closed page turned sideways. So everything you wanna see about the status of the close, what's holding up the close, what client questions are outstanding for the bank feeds, the date the transactions were last processed in the bank feeds, the date you last post published financials, who's responsible for which client, what comments are are outstanding that you need to read an action on. All of that can be viewed right here from this dashboard, and this dashboard is fully customizable. So you can reorder the the comment reorder the columns wherever you want. There's so many columns you can add here, including sort of client property style details, like what service tier is this client on, and then you can filter for just your sort of VIP clients and create saved views here. So this is really a great way to, as a firm owner or manager, stay on top of the work, in parallel as it's happening across all your clients. And then also too, Ben, I I love this dashboard. Firms love this. And then also the staff capacity management, like, you know so now you can you can now flip this kind of and then start looking at what each staff level has, where they're coming in. If they're gonna be on vacation next week, what would have been assigned to them that needs to be handled by somebody else. Or if you are pushing or moving work down or offshore, or, you know, anybody new, I think that that just makes it really easy. And so I just wanted also just reiterate that whole staff capacity management. Awesome. Okay. Well, I will stop my share here now. But, Christine, thank you for the reminder. I'm glad we got to share this with the with the audience. Awesome. Thank you. Thank you. Thank you. So yeah. So, you know, when we these are the typical objections, right, that we see coming in from firms and just different, different clients. You know, the clients won't use the portal. And because of the ease of use, we do find that a lot of clients, like, love the portal, do use the portal because now you're just sending, like we said, coding questions directly to them that's able to just they they can pick the account. They can say this is what it it's for. That coding that they selected can go straight back in into QBO or zero you know, QBO. Sorry. And so it's at two way sync. So, with and being within firms, it's like those portals, those firm portals be just become very just very cumbersome is is a good word, I think. And so those just aren't as easily as to use. Too busy to implement. So, again, with this, what we recommend, just pilot some clients. Take five clients and and start small and test the product, see how you like, you know, see how it works, see how it fits for you. Or and or our clients are also unique, which I love this because every client that we've ever taken on within a firm is like, oh, we're special, and we do all these things that are so different when in reality, they're really just in some industry niche. And, even though there is customization, it does it it fares well from that perspective. So, let's go to the next slide real quick because I really want to also capitalize, Ben, on when we talk about starting small. When we look at that staff capacity management, I always, you know, ask firms what is in everybody's head versus what's actually written down, and you actually have a month end close intangible aspects of that. So what tasks are getting stuck? And this is a good way to assess your team and also your your efficiencies. Right? Are there certain tasks that are taking too long or that are too manual that you need to dive into? And who is there a certain person that these tasks are getting stuck with? And that is also just an an opportunity to accelerate that training. And so it's really, like, looking at that start small, creating that capacity management, but also from a strategic standpoint, from a high level standpoint, figuring out how you use this product to really capitalize on that creating the capacity. Right? Because we always talk about within the industry, we add people to the problems. Right? And we're not solving for those efficiencies first within what we have to create that capacity to take on new clients. The SOPs, right here, what I really wanna focus on, Ben, too, is that you guys have a lot of standard templates, like, just standard month end close. So if you have those set for your clients already, fantastic. If you don't, Double has all of these templates that you can easily just grab and pull in. And we have been working with Double quite a bit, with Infinite Advisors, Infinite Ties to create some of those industry, templates too. So I know you guys are working on a lot of that, and Chad and I did a a presentation not too long ago. But creating I know somebody had asked about, like, those industry metrics. So, Ben, I don't know if you wanna just talk about your templates and the those industry metrics for a second. Oh, you're you're on mute. You're on mute. I knew that was gonna happen at least once on this call. Yeah. I'd be happy to. I think I'll I'll talk with the I'll start with the the templates here first. Let me see if I can share my screen. It's it's grayed out for me for oh, because you were okay. Alright. Great. Okay. So talking here about templates and then also about metrics. So with templates, we have this template section here at the top. You can build your own custom templates here, and they're the templates here are designed to be customizable and modular so that you can have multiple templates applied to a single client. So you can have a payroll template and an ecommerce template and a basic bookkeeping template. You can sort of apply all of those in, and they just seamlessly layer on top of one another. But it Double has Double serves thousands of accounting firms, and so many of those have also been kind enough to publish their templates into our community templates. So you can see different templates from different folks who use Double and how they use it. You can see this is the new client setup process that's been copied hundreds of times. Weekly books bookkeeping task has been copied hundreds of times. Payroll that's been copied hundreds of times. So these are great ways to get started if you're struggling to sort of put pen to paper and set up some initial process. Thank you for that. Because that just makes it really easy for firms to just take that and and just stand it up quickly. We talked about that setup. I think that that's that it just catapults that that time frame of of the setup and stand up. So thank you for that. And you can create your own templates. Right? So within then once you have the templates that you like, you can take that. You can create your own, and that's what you can use as your standard for for new clients knowing that you're gonna tweak that and customize that for each of each of those clients. So, thanks, Ben. I just I I do think, like, those standardized templates and as as, you know, these practices and firms start to industry niche that that just becomes really, really important. Alright. So going back to we're defining the the SOPs, the standardized templates, really, again, is that, is everything in your team's head and, you know, the hit by hit by the bus, you know, scenario, happens when all of that information just lives within someone's brain and not within a system. And then scaling up. I think this is really important important adding the remainder of of your clients. But the bigger strategic aspect here though too is that you're creating capacity to take on more work. Right? You're creating capacity. You're creating efficiencies to increase your margins. You then are creating time to train and upscale your team to offer more advisory services or and, again, take on more work and and do do more with the same amount of people. It's what I always used to say. We do more with less, right, as as we start to find products like double and implement them to just create that capacity. So start small, define your SOPs, and scale up. And I think that then you with Double does that fantastically as partnering with Intuit as well. Awesome. So I'm gonna give just a quick recap of what we talked about here, and then I know we have a ton ton of questions coming in in the q and a, so excited to address those. Really quick recap. Double is a is a, essentially, a cast operating system or a month end closed manager that is built directly on top of QuickBooks. So everything that you wanna do inside of the ledger, you can run that entire closing experience in double and then have everything stay seamlessly synchronized to the ledger. We layer on top, of that with thoughtful, intuitive AI, that works to replace the things that AI can actually replace and not everything, because we know AI is is not there yet. We don't think it will ever get there. And then lastly, we have lots of tool. One, it's designed to be easy to use out of the box, but we have lots of tooling and resources to help you customize it to your heart's content. So with that, I think we can open it up to some q and a. I know we've got a bunch of q and a in the chat. We'll see where we wanna start. I can maybe just go back to the bottom. I was gonna say there's also a couple questions that were flagged. So does Double have recommended metrics was one of the questions. Does Double have recommended metrics? We don't have any prebuilt metrics inside of inside of Double. I mean, there are there's some very common ones, like like, there's your sort of quick ratios and current ratios and gross profit margins. But this is one of the ones where I I pretty highly recommend I I would say this it has never been easier to tailor a set of customized metrics based on a client. If the client's a plumber, literally go into ChatGPT and say, what are some good financial and operational metrics that would matter to a plumbing business? And then you can build those in double. Same thing for if they're an HVAC company, if they're a software business. Like, there is basically no metric other than, like, your cash balance that is relevant for those two businesses combined. So we recommend actually just doing a little bit of of legwork on your end to figure out what metrics you wanna track, and then it's super easy to add those into double so you can track them as well. Alright. The next one is, do you offer an admin portal for our firm to manage client logins, passwords, etcetera? the best place we recommend doing that I'm gonna pop open my screen share here as well. Heather, if you could alright. Perfect. Sorry. One second. Okay. So the question was around an admin portal for storing details for the clients. Best the best place we'd recommend doing that is in your client's info right here. So depending on what you want, you can put that in your client details here. This is something I often recommend using for, like, quick links, like, maybe a report in the client's point of sale or or payroll system that you need to go to every month as part of the close. I recommend doing that here. If you wanna store other details, you can create them as as notes here in Double. So you can create just like a note, one off note, and then you can search for all of those here as well. And then any files and documents that you wanna store, you can store those in our file management system here. So depending on what you want, there's a few different places to go get it. But, yeah, that that's that's how we recommend for that system. Also, just within that portal, Ben, I think it's also awesome to point out that you can you can set up your folder structure the way that you want for your own practice. Right? But then you can also tag and and correct me if I'm wrong, but you can tag what you want the client to see versus what you just want the team to see. Exactly. Perfect. The next question. Do you have any tooling to automate journal entries? Great question. And, absolutely, we do. So our best tool for this is in your client uploads. So what we have right here I know we saw some another question about, I'm already using Dex. I'm already using Carbon. I'm already using QuickBooks. Isn't this just one more app to use? There we do work with work alongside many apps, for sure, but Double can also centralize and consolidate if you, like, the work you do in Carbon and the work you do in, Dext directly into one single platform. So this, for example, is our text replacement. This is what we call the client uploads inbox. So your clients can upload documents here, and if they are expenses, or bills or anything else, we'll automatically extract them and put them down here in this transaction files. So for something simple, that can we'll just, like, auto extract the details from an invoice and allow you to post that directly to the ledger. But for something more complex, like a payroll journal entry or a point of sale journal entry, you can upload the file here. Use AI to describe basically describe in a prompt what you want done to that file, and then Double will use AI to automatically produce a a journal entry for you that you can post the lecture every month. And then these these prompts can be saved so that you can reuse them as you have this new journal entry prompt that you or the new journal entry that you need to make each time. We have a lot of questions to get through. So I just wanna let the audience know that if we don't get to your question now, we'll definitely make sure to follow-up with you afterwards to answer that. So next question. Which level of double service is required to get the prepaid entry feature? That is in our scale package, which is $50 per claim. Alright. Next one. Do you offer oh, we haven't answered that one. Where can we find the templates? Great question. So templates are accessible in a few places. If you're here, you can click this arrow on the left, and you can pull up your templates right from here. So if you wanna apply a template and you're in the client, you can do that. Alternatively, if you're on the main home page, the client list, you can click this templates button right here to get to your templates. Alright. Next one from Karen. Can the client home page be customized? I noticed you had assignments at the let me open this up. At the client list level. Yes. Everything here can be customized, and you can create different views. So you can have different centrally structured level of cost levels of customization. At a high level, what can go on here is information about the client, information about the clues, information about your communication with the client. So this could be if you sent an esignature request for their approval, if you send a vendor request out to a vendor, anything that you need from the clients or the broader broader sort of ecosystem of the client, in that case, the vendors. Client properties is sort of our version of a CRM. So, for example, you can see, here are the here's the service tier someone's on. Here are the services that we provide for them. So if you wanted to see it, like, hey. Who do we like, we do bookkeeping, tax, audit, sales tax, payroll, and accounting bill pay for this for this client. Super easy to get that there, and then you can, of course, build filter and filtered and saved views. And then you can even get, like, individualized tasks, sort of details about the bank feeds in double, which tasks are outstanding, and then also details about their financials. So if you wanted to see all your clients from most revenue to least revenue, you can see that right here as well just by pulling the revenue column onto the the client list. Great. Next question. I saw you can upload reconciliation reports from QBO to Double. Is there a way to do the same but from QBO app, not the online version? Great question. Unfortunately, no. The way this button is installed into this page here is via a Chrome extension. So, unfortunately, there's no Chrome extensions allowed within the desktop app of QuickBooks Online, so this is only available in the web version. K. Next one. In the task manager, can a completed task trigger another task as ready for another team member? Not directly. There are a few things I'll mention there. Oftentimes, the the sort of best approach there is just to make this all one task. So for example, if you have a task here that's like two users need to complete something for payroll, you can have the first user's checklist here and then the second user's checklist here. And then when the first user signs off the task, that will trigger a notification that, the second user is ready to work on that task. And then they're also able to see that in their other like, they'll get an email about it. They'll see that in their task list. So they're able to see that's the next next thing they wanna work on. Separately from that, we also do have an API and, and a Zapier integration. So you can set up any sort of automation, whether that's double to double or double to another system when a task is marked complete. Gotcha. This is an admin portal question about who manages client access. Is it us or your support team? I think that might have been relevant to the I I don't know if that was the same question that would like, that was sort of following on when I answered the admin portal. Maybe maybe. not. Gotcha. But, apologies if I answered the question correctly or not. Basically, any access, can do directly. You don't need to reach out to our staff. So if this is about managing which of your users can access which clients, you can do that inside of double here. Or if this is about managing which clients can access which parts of that, the data, that's available to the client, that you can also do here as well. From a task management perspective, is there a road map release where there will be a two way sync on double with the likes of Carbon on tasks and checking those off to complete the month close? Yeah. So this is definitely something we're talking about internally. Unfortunately, there are some API limitations on the carbon side of things that make this more challenging. If they had a better Zapier integration, this would already be trivially done. So they they have a sort of different way that they sort of try to force other vendors to work within their ecosystem. So it's definitely something we'd like to support. It's not something that we have a a ready made integration for at this time. We do have some folks who have built those via working with our own API and then Carbon's API. So it's not impossible, but definitely something we'd like to make better. Can we demo this on our own to play around with it in more detail? Yes. If you want to get started, if you love what you've seen here today, you can get started, by going to double, and then, clicking get started here. How do you add checkboxes in your checklist under the header? I like, as in these checklists, maybe. Not sure. I guess, yeah, I don't have the the the back and forth here. If you wanted to add a subtask, you can do that like this. And then if you wanted to add an entire new checklist section, you could do that by clicking add, and then here you choose checklists. The alternative is you could also add sign offs this way. Following up on that the question about who supports client access to the portal, Roth says, when a client calls us and can't access it, can we help with their login details, or must we refer them to your support? You can you can handle handle this. So for the most part, clients rarely have issues. If they do have an issue, it's almost always fixed by just sending them a new magic link, which you can do by going to the portal, clicking actions, and then clicking send new magic link. Also, if they use username or password, you can click send the password reset link to send them back to your install. K. From a task management perspective, is there a road map oh, we already did this, did we? Didn't we? No. We didn't. Is there a way to update a transaction even though the month end has closed? Doesn't seem to allow us to do that. The basic restriction here comes from QuickBooks. So if you lock the books in QuickBooks, you're not able to make that change in double. We respect QuickBooks' user permissions. So the two solutions here are either one, you can unlock the books in QuickBooks, or two, if you do need to make a change for just one transaction here, actually clicking the date here will take you directly to that corresponding transaction in QuickBooks, and then you can make the change from there, because it will it should allow you to update the user permission. Can the client home page be customized? I noticed you had assignments at the client list level. Yes. Pretty much everything here can be customized. These are what we call closed roles. So they, one, are good here for visibility. Two, when you're applying a template, you can say, hey. I want all account reconciliation tasks, for example, to be assigned to the close preparer. And then when you apply that template, whoever is the close preparer will have those tasks assigned to them. And then three, this is the best part. If someone is going out of office and you need to really quickly shift all of their work from one person to the other, it's as easy as clicking their name here, switching that over to another person, and then checking all of these boxes here. And then that will route all of their work to a new to the right person. I think I got all of the questions answered, actually. So any final thoughts that you all want to add before we close things out? I will stop my share here, but I just wanted to say thank you all. I know every day is a busy day in the world of accounting, and so I appreciate you all for taking the time.
